Management system establishment means creating manuals, procedures, guidelines and forms to meet the requirements of the standard you apply, and getting the organization to actually use them. eiso creates documents with four AI functions, and helps the system take root in the organization through training material development and Management System Operation.

Establishment sequence

StepWhat you doWhere to use
1 PreparationDecide which standard to apply, the scope, the project organization and the schedule. Then review the requirements of the standard and the documents you already have.Information Collection Guide (clause-by-clause materials, forms and templates) · How to Build a Management System · Management System Build Plan - Example
2 Set up the document structurePrepare the document structure table (a table listing which documents are needed) and drafts of manuals, procedures, guidelines and forms. If you already have documents, a gap analysis against the standard and integration are carried out.Management System Documentation
3 Combine several standardsDocuments that were kept separately for each standard are merged into an integrated manual and common procedures, aligned to the chapter structure shared by ISO standards (the Harmonized Structure).Integrated Management System Document Development
4 Fill in missing documentsWrite one required document in exactly the format of your company's reference document.Individual Document Development
5 Reflect revisionsWhen a standard is revised, we identify the documents to amend and the documents to create, and prepare the revised versions and related forms.Standard Revision Response
6 Establishment and operationRaise awareness through training, and keep records while operating from understanding the context of the organization through to management review. Keep the manuals, procedures, guidelines and forms created in Steps 1 to 5 as current versions in a designated folder on your company computer (for example, Management System\00_Documents; for an AI management system, AI Management System\00_Documents).
When you specify that folder during operation, the document list and the latest versions are checked and used as the reference documents for the work in each step (10 Documented Information Control). The company workspace is being prepared, and we will tell you in Announcements when it opens.

Choosing how to build

For whether to build it yourself (DIY) or get external support, see How to Build a Management System, and for how to set the schedule, see Management System Build Plan - Example. A preview of the output is in Management System Documentation (ISO/IEC 42001) Example.

* We do not charge in advance. When you press “Write with AI” in each function, we tell you the usage fee and you pay if you agree. Documents created by AI are drafts for reference, your company reviews and approves them, and they do not guarantee certification results.

Introduction to the eiso Documented Information Control Solution: problems, structure and need Show answer
  • eiso · AGENT
  • Problems in documented information control: what eiso changes
  • Many companies face the following three difficulties in documented information control.
    1. Documented information management takes a lot of time and staff: because people write, revise, distribute and store documents and organize implementation records by hand, records are repeatedly rushed together just before an audit. → Management System Documentation · Management System Operation (Economic Prosperity and Social Value, 20 steps each) · company workspace and operating data registers
    2. Conformity review against higher-level documents is difficult: it is hard to confirm whether the requirements of the standard, manuals, procedures and forms are consistent with each other, and which documents to amend and create when the standard is revised. → Management System Documentation · Standard Revision Response
    3. Reliance on highly skilled staff: you depend on staff or outside experts who know the standard well, and control breaks down when the person in charge changes. → Find ISO Reference Materials · Training Materials and Lesson Plans
Problems like these can be solved much more easily with AI. That is why AGENT built eiso. Based on a knowledge base that collects standards and materials, AI takes care of drafting documents, checking conformity with higher-level documents, judging revisions and preparing training materials. People concentrate on review and approval. Approved documents are kept as the current version in the eiso storage folder on your company's computer, and the review, approval, history and distribution records are kept in the company workspace and operating data registers (original files are not stored on the eiso server).

Writing documents is difficult: copying another company's documents as they are

Documents stay the same even when the standard changes: no way to know what to amend and what to create

Formal training, records and audits: written in a rush just before the audit

  • Companies that need eiso
  • If the answer to any one of the questions below is "yes", the "eiso AI Management System Platform" can help your company.

    1. Do you think ISO certification helps only when there are many documents?
    2. Do you think ISO certification is only an activity to improve image, with no real value to the organization?
    3. Do you feel that your staff are not interested in building or maintaining an ISO 9001, ISO 14001, ISO 45001, ISO 37001, ISO 21001, ISO 19443, ISO/IEC 42001 or IATF 16949 management system, and do it only because of pressure from managers?
    4. Are internal audits and management reviews carried out as a formality, without visible outputs or an improvement action plan?
    5. Do you, your colleagues and your management think that after building ISO, the management system became complicated and you lost the flexibility to implement and decide quickly?
    6. Do you think you would not have built an ISO management system standard if it were not for a contract or a customer requirement?
    7. Do members of the organization tend to feel that the work is added to their existing duties, and so do ISO documents and implementation as a formality, rather than at the proper time, because they consider them unnecessary?
    8. To comply with ISO and meet audit requirements, do your staff write or update, only a few days before the audit, documents and records that have not been updated for several months?
    9. Does your company want to build and be certified to ISO 9001, ISO 14001, ISO 45001, ISO 37001, ISO 21001, ISO 19443, ISO/IEC 42001 or IATF 16949, but is not sure about the effectiveness?

  • eiso is a platform that creates, aligns, manages and operates the documents and implementation records of ISO management systems.
First, the AI AX functions draft documents based on the knowledge base (the document system for each standard, the Information Collection library and AGENT's knowledge materials). Documents that people have reviewed and approved are kept as the current version in the eiso storage folder on your company's computer, and the company workspace and operating data registers manage role-based permissions, revision history, distribution and recall, and implementation records (the names and contents of the registers are encrypted with a different key for each company).
